Settings & Configuration

The Settings (opens in a new tab) page is the control center for managing your Data Parrot account.

You can do the following:

  • User Management: Add, edit, or remove users and assign roles to control access levels.
  • Integrations: Make adjustments to your HubSpot integration including activating Accelerated Sync and pushing Data Parrot AI Analysis to HubSpot custom properties.
  • AI Mapping: Review how Data Parrot's AI interprets your pipelines.
  • Subscription Details: Review your plan details and manage your billing.

User Management

User Management Page Overview

The User Management tab is where administrators control team access and permissions.

Data Parrot Essentials users can add users and adjust their permissions and notification settings.

Data Parrot Pro users can also personalize notification settings per user - for example, the email notifications can be filtered by Pipeline/Stage and Deal Owner. A summary of seats in use is also displayed.

Adding / Updating Users

To add a user, click the "Add User" button and choose the user from the dropdown. This is a list of HubSpot users - they must have already been added to HubSpot to be added to Data Parrot.

Very Important: Any User of Data Parrot can see all data from HubSpot. This is usually common in HubSpot - all users can see everything - but it is important to know that this is the case.

*Note: If they were just added to HubSpot, the users should show up in Data Parrot shortly after they’re added in Hubspot *

Configuration Options:

  • Is Admin: This is a toggle to make the user an administrator. Administrators can add additional Data Parrot users.
  • Notifications: Select whether the user should receive daily and/or weekly email notifications. Slack is available to choose but the integration is not yet available.
  • Pipeline & Stage Filters: Select the Pipeline/Stage filters for the Notifications.
  • Deal Owner Filters: Select the Deal Owner filters for the Notifications.

Both the Pipeline/Stage and Deal Owner filters will apply to the daily & weekly email notifications.

Note: If you add another user but are already at the limit of purchased users, the new user will be pro-rated on the next invoice in the billing cycle.

The integrations page is where you can manage your HubSpot integration settings, connect Slack for our upcoming integration, and view your 2024 Data Parrot Wrapped.

Configuring Data Parrot Integrations

Accelerated Sync

At any time you can activate "Accelerated Sync" which will trigger Data Parrot to sync your HubSpot data every 5 minutes. This lasts for ~2 hours.

This will update engagements, deal data, company and contact information in Data Parrot. However, it will not automatically update the AI Analysis. This runs daily, currently at 11:59 PM EST.

You can also see the last sync date-time here as well.

Push to HubSpot

Activate the Push to HubSpot options to automatically create custom properties in your HubSpot instance for the Data Parrot Deal AI Analysis.

You can also see the last time the data was sent to your HubSpot instance.

The tables below (under "Deal Health Properties") show the properties that will be created/updated including the label, HubSpot property name, and description.

The property labels can be changed in your HubSpot instance - they default to a prefix with "Data Parrot" to make it easy to identify them in HubSpot property settings.

When the custom properties are created in HubSpot, we strongly recommend you add them to your deal cards, views, and reports.

When adding them to the cards we recommend re-ordering the properties to match what makes sense for your sales team. The most common order is:

I highly recommend you add these properties to your deal cards, views, and reports. This shares the Data Parrot AI Analysis of deals with all users of HubSpot without needing a Data Parrot license.

Chat Integrations

This is where you can connect your Slack instance to Data Parrot. This is not yet available but will be soon! Microsoft Teams is also on the roadmap.

Lastly you can also see your Data Parrot Wrapped for 2024 - a summary of your 2024 year in Data Parrot.

Install the Data Parrot Card in HubSpot

This guide walks you through installing the Data Parrot HubSpot UI Extension and adding the card to your Deal views so your team can see AI insights directly on the Deal record.

What the Data Parrot card enables

  • View Data Parrot insights directly inside HubSpot Deal records
  • Access AI-powered deal health, signals, and next steps without leaving HubSpot
  • Share AI insights with Data Parrot users in HubSpot
  • Place the card on the Overview tab or create a dedicated "Data Parrot" tab for focus

If the button shows "Connected" in Data Parrot, the card is already installed for the selected HubSpot account.

1. Navigate to the Integrations tab in Settings

On the Integrations page, locate "Install Data Parrot Card" (opens in a new tab) and click the Install button.

2. Choose your HubSpot account and authorize

You'll be redirected to HubSpot to select the target account and authorize the connection. Pick the correct portal and continue.

After authorization, return to Data Parrot. The Integrations section will show "Connected".

3. Add the card to your HubSpot Deal view

Next, add the Data Parrot card to the Deal view your team uses.

  1. Click the gear icon in the top right corner of the navigation bar in HubSpot.

  1. Go to Data Management → Deals → Record Customization and click the view you want to edit (e.g., Default view).

Optional: Create a "Data Parrot" tab

Within the view editor, you can add a new tab named Data Parrot to keep insights organized.

Teams commonly place the Data Parrot card near the top of the Overview tab, or on a dedicated Data Parrot tab for focus.

4. Add the Data Parrot card

  • Click Add card on the row where you want the card to appear

Create Tasks from the Data Parrot Card

You can create tasks from the Data Parrot card by clicking the "Create Task" button in the Suggestions section.

Next Steps

AI Mapping

The AI Mapping tab lets you understand and customize how Data Parrot's AI interprets your sales pipeline. This is for interest only and is a way to ensure that Data Parrot understands what each Pipeline & Stage means.

Subscription Details / Data Parrot Plans

If you are a Data Parrot Essentials user (Free), you will see a "Data Parrot Plans" tab. This is where you can upgrade to a Pro plan.

If you are a Data Parrot Pro user, you will see a "Subscription Details" tab. This is where you can review your plan details and manage your billing.

If you would like to upgrade to a Pro plan, you can do so here. Choose the term (monthly or yearly) and click Subscribe.

You will be presented with a pop up to confirm your details for your subscription. You can add additional users at this point, or later if you choose to add more users in User Management.
