Activity Dashboard

The Activity Dashboard (opens in a new tab) displays meetings, calls and emails in a single dashboard, with filtering options by deal owner/teams, pipelines/stages, and date range.

Data Parrot (opens in a new tab) makes it easy to see all of this information in one place without the headache of creating and managing multiple reports.

How to Use the Activity Dashboard

Configure your Filters

First choose the date range you are interested in. Choose today, This Week, This Month or a custom date range.

Filtering by Date Range, Pipeline/Stage, Deal Owner and Teams

Then optionally filter by pipeline/stage, deal owner and teams by clicking the filter button or selecting a preset filter you have previously saved.

This displays a filter box where you can choose the filters you want to apply including Pipeline, Deal Stage, Deal Owner and Teams.

Once you have selected your filters, you can click "Apply Filters" at the bottom right. Optionally you can enter a Preset name and click Save & Apply.

Notes:

  • If you filter by Pipeline/Stage, you will only see engagements that are associated to deals.
  • The Pipeline/Stage filter is at the time of the engagement. So if a deal was in "To Be Qualified" when the engagement happened, but is currently in "Proposal" it will be filtered to match "To Be Qualified"

Summary Dashboard

The Summary Dashboard provides a table of engagement data that match your filters. Each row is a member of your team and the columns summarize their engagement metrics:

  • Owner Name: The owner of the engagement.
  • Booked: The number of meetings booked.
  • Held: The number of meetings held.
  • Rescheduled: The number of meetings rescheduled.
  • No Shows: The number of meetings that were no-shows.
  • Time Spent Meeting: The total time spent in meetings in minutes.
  • Connected: The number of connected calls.
  • Voicemail: The number of calls that went to voicemail.
  • Failed: The number of calls that failed.
  • Total Talk Time: The total talk time of the calls in minutes.
  • Sent: The number of emails sent.
  • Received: The number of emails received.

Engagement Details

The Engagement Details section provides a detailed view of the engagement data grouped in tabs for Meetings, Calls and Emails. Each tab shows the number of engagements.

Click each tab to see the details for that engagement type.

  • Meeting Tabs: Booked, Held, Rescheduled, No Shows
  • Call Tabs: Connected, Voicemail, Failed, Scheduled
  • Email Tabs: Sent, Received

Making the Most of the Activity Dashboard

  • Pin the Dashboard as a Tab: This is a great way to keep the Activity Dashboard always visible and accessible.
  • Filter to What Matters: If you have multiple teams using HubSpot, set up presets and flip between them.
  • Not Just Sales: The Activity Dashboard doesn't limit engagements to just your sales team. Use it to track all activity across your organization.
